How to introduce CultureAI to your employees

Properly introducing new software to your wider business is an important part of integrating and adopting it into your company culture.

In this guide, we'll go over some of our recommended steps for this process, while every company has different policies and internal expectations for new platforms being introduced, this guide will help you outline an action plan.

Before you send out communications

There are a few things you can prepare in advance of sending out your comms'. These will help enrich your employee onboarding process.

  • Name a couple of CultureAI ambassadors - Having a familiar friendly face that your employees can direct questions towards gives your employees a direct line of contact to understand CultureAI better. 
  • Create an information page/PDF for employees - Create a place where you can direct your employees to find information about CultureAI. 
    This guide should include how they navigate their Security Centre, and what they're expected to use it for. For example, if you're moving all your training onto CultureAI, make sure it's clear that they should now go to their Security Centre for training.

First email

Your first announcement should introduce what CultureAI is, explain your reasons for using it, and direct employees to their security centre. Including all of this ensures that your employees understand CultureAI, and know where they can engage with it.

We have an example introduction email below that you can use as a reference template for your communications;

Hello everyone,
We hope you're having a good week so far. We've got some exciting news to share!
Here at **Company Name** we all know that cyber security is important, but that sometimes knowing what the right thing to do is can be very difficult, and often frustrating.


So we want to help you develop the skills and knowledge you need to keep you safe, both here at work, but also at home. We want to help you improve your awareness and become super cyber-savvy superstars.


We're implementing new security software, called CultureAI. This gives you access to a security centre where you can view your current security score, with hints and tips on how to improve. It’s also where we’re going to put our security training and policies to give you a one stop shop to keep on top of all things security related.


You should all be receiving a login email to your security centre soon, please open this as soon as possible.


We've created a guide for using your new security centre that you can view here. This will also include some answers to questions you might have, and how to reach out for any support.
You can also message our security ambassadors directly, they'll be happy to answer any questions.

Next steps

  • Monitor responses - Keep an eye on the responses received from your employees. Take note of any questions, concerns, or feedback they provide.
  • Schedule a demo or training session - Organize a demonstration or training session to familiarize employees with CultureAI.
  • Encourage feedback - Encourage employees to provide feedback on their experience with the new software. You could create a feedback channel, or make a survey for your employees to complete
  • Follow-up communication - After a period time, for example, a month. Send out a follow up email to your employees about CultureAI. This would be a good time to send a survey or set up a feedback session.
  • Evaluate adoption and usage - Once you've gathered some feedback, take a look at the results and think about any changes you may need to make.
